01 — INITIAL CONVERSATION

Start With a Conversation

Most projects begin with a short phone or video call after you submit our Start a Project form.

We’ll ask where you are in the process, what you hope to accomplish, where the project is located, and what pieces are already in place. We’ll also talk candidly about your general budget, desired timing, and whether GoldenLeaf appears to be a fit for your project.

This is not a design session or a rushed estimate. It is a focused first conversation, so both sides can understand what the next step should be.

What we’re looking to understand:

  • The kind of project you are considering

  • What plans, property, or professional partners are already in place

  • Your priorities, investment expectations, and timing

  • Whether an in-person meeting makes sense

By the end of the call, we’ll either schedule an in-person meeting, identify something that should happen first, or let you know honestly if the project is not the right fit.

02 — IN-PERSON MEETING

Meet, Listen, and Establish Fit

If the project seems to be a potential fit, the next step is usually an in-person meeting.

Depending on where you are starting, we may meet at the property, your existing home, or another setting that makes sense for the conversation. We’ll spend more time understanding how you want the home to live, what matters most to you, what concerns you have about the process, and what decisions have already been made. We’ll also review the pieces that need to work together—property, plans, budget, timing, and project team—and explain how GoldenLeaf approaches planning, communication, construction, and homeowner care.

What we’ll talk through:

  • Your goals, priorities, and non-negotiables

  • The plans, property, or existing conditions involved

  • Your investment expectations and desired timeline

  • Who is already part of the project team

  • What still needs to be designed, investigated, or decided

  • Whether paid pre-construction is the appropriate next step

This meeting is about more than whether we can build the project. It is about whether the expectations, working relationship, and path forward make sense for everyone involved. We encourage everyone who will be closely involved in the major project decisions to attend.

03 — PRE-CONSTRUCTION

Plan the Project Before We Build It

If we agree that the project and working relationship are a good fit, we’ll outline a pre-construction scope tailored to where your project stands. A client who already has detailed plans and a suitable lot may need a very different level of work than someone who still needs property evaluation, architectural design, selections, or early budget guidance. Before beginning, we’ll explain what work is needed, what GoldenLeaf will coordinate, what other professionals may be involved, and the fee for that service.

Once pre-construction begins, we work to bring the design, site, scope, specifications, and budget into alignment before the largest construction commitments are made.

Pre-construction may include:

  • Reviewing plans, surveys, property information, and existing documentation

  • Evaluating the site or existing home

  • Coordinating with the architect, designer, engineer, surveyor, and other professionals

  • Clarifying the project scope and priorities

  • Developing and refining preliminary budgets

  • Reviewing design decisions for constructability and cost

  • Establishing specifications and making early selections

  • Gathering trade and supplier pricing

  • Identifying unresolved decisions, site concerns, and foreseeable risks

  • Preparing for permitting, financing, and construction

Pre-construction is a paid professional service.

It is how we replace broad assumptions with a coordinated plan, a better-tested budget, and a realistic path toward a construction agreement.

Why this work matters

A house can look complete on paper while the plans, property, selections, and budget are still moving in different directions.

Bringing the client, builder, architect, and designer into the conversation early allows decisions to be tested before they become expensive to change. It does not eliminate every unknown, but it gives the project a much stronger foundation than rushing straight from drawings to a construction price.

The goal of pre-construction is not simply to produce a quote. It is to develop a project that is clear enough, coordinated enough, and realistic enough to build well.

04 — PROJECT FINALIZATION

Turn the Plan Into a Clear Agreement

As pre-construction progresses, we refine the plans, specifications, selections, site requirements, and pricing until the project is ready for a construction agreement.

Rather than sending over a number without context, we review the proposal with you and walk through the details together. This gives everyone an opportunity to understand what is included, what remains variable, and what still needs to happen before construction can begin.

Before signing, we’ll review:

  • The final scope of work

  • Plans, specifications, and key selections

  • Inclusions, exclusions, and clarifications

  • Allowances and any remaining variables

  • The contract amount and payment structure

  • The anticipated construction schedule

  • The change-order process

  • Financing, permitting, and other prerequisites

The goal is clarity before work begins.

You should understand what GoldenLeaf is building, how the project is priced, what decisions remain, and what each party is responsible for moving forward.

Once the agreement is signed, required funding is in place, permits are secured, and the remaining pre-start items are complete, we can prepare the project for construction.

05 — CONSTRUCTION

Build With Visibility and Accountability

Once construction begins, GoldenLeaf manages the day-to-day coordination of the project, including scheduling, trade partners, materials, inspections, quality control, and communication.

You should not have to chase down different contractors or wonder who is responsible for the next step. GoldenLeaf remains your primary point of contact and keeps the project information organized in one place.

Throughout construction, you can expect:

  • Regular project updates and progress photos

  • Schedule and milestone information

  • Organized selections and decision deadlines

When a change is requested, or an unforeseen condition requires one, we document the revised scope, cost, and expected schedule impact before the additional work moves forward whenever reasonably possible.

06 — MOVE-IN & HOMEOWNER CARE

Move In With Continued Support

As construction nears completion, we work through final inspections, quality reviews, punch list items, and the details required to prepare the home for ownership.

Before move-in, we’ll walk through the home with you, explain important systems and maintenance needs, and make sure you know where to find the plans, selections, manuals, photos, and other information connected to your project.

The build may be ending, but the relationship does not stop at the closing table.

Before you settle in, we’ll help you understand:

  • The home’s major systems and controls

  • Routine care and maintenance responsibilities

  • Final project documents and product information

Your Home, Documented

  • How to access your Homeowner Hub

  • How warranty requests are submitted and managed

  • What to expect during the first year in your home

Your Homeowner Hub keeps the information connected to your home organized and accessible after construction is complete.

Depending on the project, that may include:

  • Plans and surveys

  • Final selections and finish information

  • Product manuals and warranty documents

  • Construction and pre-drywall photos

  • Maintenance resources

  • Warranty request access

Support continues after move-in.

GoldenLeaf provides scheduled warranty touchpoints, including a 30-day check-in and a 10-month review before the end of the first year. Warranty requests are submitted through the Homeowner Hub, so communication, scheduling, and completion remain documented.
